I have registered for the examination but my grade was not recorded in Osiris.

There may be several reasons for your grade not being recorded in Osiris:

  1. The grade is not passed on to the Department of Exam Administration by the lecturer and therefore not registered in Osiris.
  2. The grade is passed on to the Department of Exam Administration but a legitimate student registration for the written exam was missing, so the student is not entitled to a grade. Upon registering for an exam, you will always receive a confirmation e-mail. Save this e-mail until your grade has been recorded in Osiris.
  3. There is a suspicion of fraud which is under examination by the Examination Board; during this process the grade is held.

Note: If your grade is not registered in Osiris, please first contact the Department of Exam Administration, room EB-29. Only submit your request in case neither the Exam Administration nor the lecturer can be of any assistance.

What can I do in case of pending expiration of my bachelor or master grades?

If time remains to complete the programme then that should become priority number one. In case expiration of a course result is imminent and unavoidable or has occurred, you may lodge a request with the Examination Board for an extension of the period of validity (with a maximum of one year). The Board will take a more favorable view in cases of such requests where (i) the period of validity has been exceeded mildly and there is a real and demonstrable prospect of near completion of the programme, (ii) there has been recent progress in the programme and (iii) there are personal circumstances beyond one’s control that have impeded study progress.

Therefore a request always has to be accompanied by:

(a) a recent OSIRIS-print out;

(b) a motivation or explanation of the circumstances having led to the request, also mention for which grades you would like an extended validity;

(c) a study plan, endorsed by a study adviser, that explains when courses are to be passed that are still needed for the programme’s completion.

The motivated request can be submitted via the Online Request Form.

Can I submit my request by e-mail?

As from 1 March 2013, the Examination Board has implemented a new way of working with digital student files. This means that from this point forward formal requests can be submitted via the Online Request Form.

Requests should be motivated and accompanied by all relevant documentation (such as a recent version of your Osiris study progress overview ("dossieroverzicht"). In the event that you are asked to hand in a (certified copy of a) certificate, transcript or diploma, you still have to send/show this document in its original form to the Examination Board for verification. These kind of documents will not be accepted in a digital form. See Contact Information for more details.

I have submitted my request to the Examination Board. How long does it take before I get a reply?

You may expect a decision of the Examination Board within 4 weeks. For more complicated requests, where multiple people are involved in the decision making process, or in the busy month of August, it might take longer than four weeks to come to a decision. We ask for your understanding. Therefore, it is important to submit your request in time.

How long are my bachelor grades valid?

The bachelor results remain valid for six years. After elapse of those six years a course result expires. For obtaining a diploma, an exam has to be retaken in case a course result has expired.

Please note: As of academic year 2013-2014, the validity for passed examinations is determined on the date on which that exam took place. Consequently, the expiry date is no longer set on 1 September of the next academic year, but instead on the exam date added with six years time. For example: when your first obtained grades have registered examination dates in November 2007, the validity of these grades has expired in November 2013 (instead of September 2014).

If you have submitted a request for validity extension to the Examination Board and received a formal decision from the Examination Board, then this decision will overrule the Osiris rules.

How long are my master grades valid?

The master results remain valid for three years. After elapse of those three years a course result expires. For obtaining a diploma, an exam has to be retaken in case a course result has expired.

Please note: As of academic year 2103-2014, the validity for passed examinations is determined on the date on which that exam took place. Consequently, the expiry date will no longer be set on 1 September of the next academic year, but instead on the specific exam date added with three years time.

If you have submitted a request for validity extension to the Examination Board and received a formal decision from the Examination Board, then this decision will overrule the Osiris rules.
