Job position

The Reception desk Officer reports to the Reception Desk Manager. He/she interacts with students, visitors, RSM staff, Erasmus University Employees, and suppliers on a daily basis. The Reception Desk Officer work schedule includes day-, evening-, and occasional Saturday shifts. The Reception desk Officer works closely with professional services in both the Bayle and Mandeville buildings, and carries out a variety of administrative projects. The Reception desk Officer assists the Deans office in supporting the Director(s) and/or Dean(s) and interacts with many different (internal & external) stakeholders of RSM (corporate visitors, faculty, travel agency).

Aim of the job

The aim of job of the Reception Desk Officer is to welcome visitors and callers in a polite, friendly and professional manner, and to direct them to the appropriate person in such a manner that it is in line with RSM’s image and branding. In addition, the job entails handling telephone, e-mail, and social media enquiries regarding RSM educational programs, as well as providing administrative support to professional services departments within RSM, including the Dean’s Office.

Specific tasks include:

  • Liaising with Campus security to ensure that the building is open on time for staff and students
  • Managing and issuing security passes to staff, students, and visitors
  • Maintaining internal phone directory
  • Managing and confirming reservations for lecture halls and meeting rooms.
  • Updating class and visitor schedules on public monitors
  • Supervision of student assistants
  • Input and updating of data in the CRM system
  • Managing incoming e-mails, RSM social media accounts, and telephone inquiries
  • Administrative support for brochure requests
  • Managing incoming and outgoing deliver of post, including courier services


Bachelor’s degree or equivalent through experience

Experience & Skills

  • At least three years of experience in a similar position, preferably in an international environment or hospitality
  • Experience with MS Office
  • Experience with CRM highly desirable
  • Ability to communicate effectively (written and verbal)  and customer friendly in English and Dutch with all stakeholders in person and over the telephone
  • Professional appearance and representation
  • Customer service-oriented
  • Ability to work accurately and meticulously
  • Ability to work flexible schedules, day-, evening- and Saturday shifts


The hiring salary for this specific position is between €2400, - and €2700, - (scale 11) depending on education and level of experience. This salary is based on a fulltime employment. RSM offers excellent secondary benefits with amongst others a fully paid pension by the RSM.
