Are you a competent organiser and do you like to create successful and well-attended corporate events in the Netherlands and occasionally in other countries? Do you work independently and accurately? Do you love to evaluate and continuously improve your work?

Then you might be the next...

Alumni Events Officer

at Erasmus University Rotterdam (EUR).

You will manage the events programme, and be responsible for the development and delivery of the programme of key events for the alumni community (over 130,000 graduates) of Erasmus University Rotterdam.

The Alumni Events Officer will ensure that every event has a clear purpose and is critically reviewed using feedback from attendees and other success criteria to ensure that the alumni  team’s efforts are focused on the most productive events with the greatest impact. Our aim, and your role, is to maximise the events on offer with appropriate investment, but also to provide options for future investment or sponsorship.

The Alumni Events Officer is responsible for the daily operation of the EUR alumni events programme, in collaboration with internal and external stakeholders, and supports the overall external aspirations of the University. The Alumni Events Officer will work closely with the Corporate Marketing and Communications team, RSM’s corporate and alumni events, and all university faculties to ensure a consistent and efficient approach to the alumni events programme of EUR. As Alumni Events Officer, you will work with key partners across the university as well as EUR graduates. Working from an office within RSM in partnership with fellow alumni professionals you will be leading the way in the creation of a first-class Alumni Relations service for Erasmus University Rotterdam. You’ll report to the Director Alumni Relations for EUR and RSM.

Your main tasks

  • Develop and deliver the EUR alumni events programme to the highest standards
  • Supervise the planning and delivery of events from A to Z, including long-term strategy and budgeting
  • Work closely with the university’s corporate marketing team to identify forthcoming events which would be suitable for the alumni events programme
  • Seek new event opportunities; define their purpose, propose the required resources, and plan what would be required to trial them.
  • Maintain a central calendar of alumni events and other relevant events delivered within EUR, ensure it is accessible and widely promoted, and identify opportunities for alignment with internal and external partners
  • Review completed events to ensure objectives were achieved, check complete analysis of feedback, and identify, develop and document recommendations for future improvement
  • Work with other teams and departments to promote and organise events
  • Act as a point of contact for queries about events from guests and alumni by telephone, letter, email and other channels; respond in a timely and efficient manner.

Required qualifications

  • Bachelor degree or equivalent through experience
  • At least three years of experience in public relations or events or experiential marketing
  • Experience of organising events
  • Adept at producing reports and proposals using Microsoft Office Word, Access, and Excel
  • Fluent or near-native Dutch and English (min. B1), written and spoken, are both required. You will be dealing with an international network of alumni, as well as Dutch suppliers and stakeholders
  • Flexible orientation and a willingness to work outside of normal business hours, willing to undertake international travel as required
  • Excellent interpersonal skills, cultural awareness and the ability to communicate effectively across a range of media
  • Able to work in Microsoft CRM, TYPO3, Adobe Creative Suite, and Google Analytics.

Your required competences

We are looking for candidates who:

  • Are accurate and check their own work systematically
  • Are very well-informed about developments in the field of events and make effective use of this knowledge for the benefit of the organisation
  • Can effectively determine goals, priorities and time required, indicate courses of action and resources needed to achieve particular goals
  • Tackle tasks that need to be done, show involvement and goodwill in order to achieve set goals and always search for better alternatives
  • Are collaborative and able to give and receive feedback.

Why this might not be your dream job:

  • You prefer to work from 9 to 5
  • You like playing solo
  • You would rather not double-check your work
  • You don’t understand why every event should have an objective.
