How and where can I obtain a certified copy of my diploma and transcripts?

A certified copy of your diploma and transcript can be acquired at the institution where you obtained the diploma or at a notary. Certified means that the photocopy of the original diploma/transcript, needs to be stamped and signed by your institution (director, course coordinator, registrar) or notary. When making your offer unconditional, make sure you send us the original document or certified hard copy. Photocopies and scans will not be accepted because their authenticity cannot be verified.

How do I make my conditional offer unconditional?

While your application can be evaluated based on unofficial digital documents you have uploaded in your application form, eventually the RSM needs to check the authenticity of your diploma and your final transcript. This is also listed as a condition in your offer. You should provide the RSM IBA Admissions Office certified hardcopies (paper documents) of your diploma and final grade list by 1 August.

Which documents are needed?

You must provide either original or certified hardcopies (paper documents) of your secondary school diploma and final transcript (list of grades). Generally, the diploma and final transcript (list of grades) will suffice to make your offer unconditional. However, for some diplomas additional documents may be required or a different verification procedure may apply. For some diplomas a national entrance exam or state exam may be part of the official diploma. In that case you must also provide a certified hardcopy of the exam results/certificate (in the original language and a translation).

If the original documents are written in a language other than English, French, German or Dutch you must provide an official translation by a registered sworn translator in one of these languages. Make sure to always include your diploma and/or transcript(s) in the original language along with the translation!

Below we have specified the most common diplomas. Not all diplomas are listed here. If you want to know whether your documents are sufficient for verification, please contact the RSM Admissions Office.

Holders a Dutch diploma:

  • Dutch VWO diploma
You do not need to send a certified hardcopy of your VWO diploma as your grades will be verified electronically (via Studielink). However, holders of a VWO diploma obtained outside the Netherlands (Curacao, Aruba, Sint Maarten) are required to send a certified hardcopy of their diploma and final transcript.
  • Dutch HBO 1st year diploma of a Dutch university of Applied Sciences (Propedeuse)
Certified hardcopy of your HBO propedeuse and final transcript. If your propedeuse is issued after 1 August, you must present an official statement and transcript from your university. This document should include your expected graduation date and clearly state that you have completed your first year and obtained a minimum of 60 credits.

Holders of a non-Dutch diploma:

  • American High School Diploma
Certified copy of the High school diploma, transcript (in a sealed envelope) and the official College Board AP scores. The College Board institute code for RSM is 6767.
  • Belgian Algemeen Secundair Onderwijs (ASO) / Certificat d'Enseignement Secondaire Supérieur
Certified hardcopy of the diploma and transcript of the final year.
  • British GCE (A-levels) and Irish Leaving Certificate
Since the GCE results and the Irish Leaving Certificate are only available as of mid-August, the (provisional) statement of results can be sent after 1 August (no later than 20 August). Only the GCE results issued by the official awarding bodies (exam boards: AQA, OCR, Pearson, Edexel) are accepted. We require a certified hardcopy of the GCE certificates, (I)GCSE certificates as well as AS certificates (if applicable).
Due to time constraints your school may send an e-mail directly to RSM with a PDF download of the (provisional) GCE statement of results from the appropriate exam boards provided the documents bear a stamp and signature of your school. Statements of results printed on your school's letterhead are not valid. All other documents (GCSE and AS-level certificates) must be provided as hardcopies (paper documents). The Cambridge GCE results can also be verified online. Provide the number of the Cambridge Exam Centre, your candidate number (stated on the statement of results or certificates) and date of birth. RSM cannot verify the results online of the other exam boards.
  • Chinese diploma (Gaozhong) and GaoKao
Certified hardcopy of  the secondary school diploma (Gaozhong), the 3-year transcript and the GaoKao score. All documents must be provided in Chinese and a translation.
  • Estonian Gümnaasiumi lõputunnistus
Certified hardcopy of the diploma and the state exam Riigieksamitunnistus. All documents must be provided in the original language and a translation.
  • French Baccalauréat Général
Certified hardcopy of the Baccalauréate and Releve de notes. If you have not yet received your official Baccalauréat, a certified hardcopy of your Releve de notes suffices.
  • Indonesian Sekolah Menengah Atas (SMA)
Certified hardcopy of the Ijazah Sekolah Menegah Atas (Lulus) and transcript, Surat Keterangan Hasil Ujian Nasional (certificate of the exam). Documents are issued by the Departemen Pendidikan Nasional. All documents must be provided in the original language and a translation.
  • International Baccalaureate
If you already have obtained an IB diploma, send a certified hardcopy of your diploma. If you have not yet received your official diploma, you can instruct the IBO to send your final IB results to us electronically so that we can verify your scores online. Use the institute code of Rotterdam School of Management and not of Erasmus University. Rotterdam School of Management is registered with institute code 034892. Alternatively, your school can send a print out of the IB exam results derived from the IBO website, which has been stamped and signed by your school. IB results printed on the school's letterhead are not accepted.
  • Italian Diploma di Superamento Dell'Esame di Stato Conclusivo dei Corsi di Istruzione Secondaria Superiore
Certified hardcopy of the Liceo and Allegato. If you receive a provisional diploma (diploma number is not filled in), you must also submit a Pagella Scolastica of the final school year. If you have not yet received these documents, you must present an official statement issued on behalf of the Ministero dell’Istruzione, dell’Universita and the Pagella Scolastica. A statement from your school and the Pagella will also suffice but should clearly state that you have completed your secondary school, the name of your diploma, graduation date and the final grade average. All documents must be provided in Italian and a translation.

How do I obtain a certified document?

A certified hardcopy (paper document) of your diploma and final transcript can be acquired at the institution where you obtained them or at an official notary. Certified means that the photocopy of the original diploma/transcript needs to be stamped and signed by your institution (director, course coordinator, registrar) or notary.  When making your offer unconditional, make sure you send us the original certified document (or come by the office with your original documents). Photocopies and scans will not be accepted because their authenticity cannot be verified. Photocopies of a certified document are not accepted.

Send the documents to RSM before 1 August to the following address:

Rotterdam School of Management, Erasmus University

RSM IBA Admissions Office

Burgemeester Oudlaan 50

Mandeville Building, Room T5-01

3062 PA Rotterdam

The Netherlands

RSM is not responsible for documents lost during delivery. Therefore, we urge you not to send us your original diploma by post. We advise you to send the documents as a tracked delivery. The documents will first be received by the central post room, and will be delivered to the admissions office within 2-3 days. Once the documents have arrived and they have been processed, you will be notified. Making your offer unconditional may take up to 1-2 weeks as we receive a large number of diplomas that need to be verified and processed. Therefore, please be patient.

You can also bring the documents to the above mentioned address in person. The RSM Admissions Office is open from Monday-Friday between 10am and 4 pm.

RSM will save your diploma for one year. It is your responsibility to pick up these documents from the admissions office, if you want them back. You can pick up your diploma as from October onwards. The admissions office makes scanned copies of all documents for our digital archive and shreds all paper copies that have not been picked up on time.

What does RSM mean by a 'diploma statement'?

If you have not received your high school diploma at the time of application, you must submit a 'diploma statement'. The purpose of this statement is to clarify which grading system your school uses in order to correctly calculate your GPA. This statement must be filled in by your school counselor or school representative.

What is the difference between a conditional and unconditional offer

A conditional offer of admission means that you still need to do something before you will be allowed to start your studies at RSM. For the vast majority of our applicants, this means that you need to bring or send either certified hard copies or originals of your diploma(s) and final academic transcript. Once all of the conditions in your offer of admission have been met, your offer will become unconditional and you may officially enroll in the programme.

Many of our applicants ask why we require certified hard copies or originals of their diploma(s) and academic transcripts when we already have digital copies. RSM requires official hard copies because digital documents are easier to forge and are therefore not legal documents.
