I have registered for the examination but my grade was not recorded in Osiris.

There may be several reasons for your grade not being recorded in Osiris:

  1. The grade is not passed on to the Department for Exam Administration by the examiner and therefore not registered in Osiris.
  2. The grade is passed on to the Department for Exam Administration but a legitimate student registration for the examination was missing, so the student is not entitled to a grade. Upon registration for an exam, you will always receive a confirmation e-mail. Save this proof of registration until your grade has been recorded in Osiris.
  3. There is a suspicion of fraud being investigated by the Examination Board; pending the investigation the grade will not be registered and the student is not entitled to the grade.

Note: If your grade is not registered in Osiris, please first contact the Department for Exam Administration, Sanders Building, room L3-033. Only submit your request in case neither the Exam Administration nor the examiner can be of any assistance.

What can I do in case of pending expiration of my bachelor or master grades?

If time remains to complete the programme then that should become priority number one. In case expiration of a course result is imminent and unavoidable or has occurred, you may lodge a request with the Examination Board for an extension of the period of validity (with a maximum of one year). The Board will take a more favorable view in cases of such requests where (i) the period of validity has been exceeded mildly and there is a real and demonstrable prospect of near completion of the programme, (ii) there has been recent progress in the programme and (iii) there are personal circumstances beyond one’s control that have impeded study progress.

Therefore a request always has to be accompanied by:

(a) a recent OSIRIS-print out;

(b) a motivation or explanation of the circumstances having led to the request, also mention for which grades you would like an extended validity;

(c) a study plan, endorsed by a study adviser, that explains when courses are to be passed that are still needed for the programme’s completion.

The motivated request can be submitted via the Online Request Form.

How long are my bachelor grades valid?

Unless otherwise mentioned, the term of validity for passed bachelor courses and granted exemptions is in principle unlimited. However, as long as the final exam has not been passed yet, the Examination Board may declare the term of validity of a course, passed more than six years ago, expired if the knowledge, insights or skills taught during the course have become obsolete. In that case, the Examination Board can impose an additional or alternative course or examination, before the final exam may be passed.

If the examination of a course is composed of more than one test, the term of validity of each test is limited to the academic year in which the tests are taken, unless the examiner determines otherwise in the course manual.

It is possible to compensate an insufficient grade from my Bachelor programme?

A student may pass the final exam with a 4.5 or higher for one examination part of the course year B1, provided that all components of course year B1 were passed, with the exception of the component with the 4.5 or higher, and this insufficient grade is compensated for by at least one rounded 7 or higher for another component of B1.

In addition, a student may also pass the final exam with a 4.5 or higher for one examination part of the course year B2 or B3, except for the trimester  7 courses and the Research Training/Bachelor Thesis, provided that the calculated grade point average is at least 7.0.

Procedure: The B1 compensation rule will automatically be processed in Osiris. The B2/3 compensation rule will only be applied by the Examination Board upon student’s request: submit your request via the Online Request Form. Your GPA will be calculated by the Department for Exam Administration, whereafter the Examination Board will send you the final decision. Please note, compensation requests for B2/3 will only be processed when all grades of B2/3 (including retakes) have been registered in Osiris.
